Manage Business Document Design and Development

Question 1

One requirement for information entry

  • spelling, grammar, punctuation and writing style
  • Two requirements for file naming and storage

  • Use version numbers in files you create: To use an analog term, create a paper trail with your digital files.
  • Avoid unnecessary repetition and redundant words in file names and file paths.
  • Two requirements for output or quality of document design and production

  • Try to keep the first paragraph on a page short. This is a psychological technique. Most readers will read a short paragraph. Hopefully, you have made it interesting enough that the reader will continue with the rest of the page or screen.
  • Avoid Indentation: Indenting paragraphs is out of date in the business world.
  • Two compliance requirements – explain how the existing Adept Owl processes help ensure compliance with one piece of legislation and identify and explain one possible code of practice or standard relevant to document production for possible improvement of processes.

  • Password Protection: There should be an explanation of your company’s password requirements, including character specifications, frequency of password changes, blocks after unsuccessful login attempts and overall guidelines as to how employees should handle their passwords.
  • Security Updates: Employees should be equipped with security information. This information dissemination should begin with the hiring process and continue throughout the employee’s time with the organization.
  • Question 2

Evaluate Adept Owl’s present and future information technology capability to satisfy document design and production needs.

  • What changes might be required to the Adept Owl style guide and procedures to take account of anticipated technological changes?
  • Instead of using “of” phrases, convert them into possessives. “For example, change the success of the company to the company’s success.”

  • Question 3

    Informative Documents

Informative documents include financial statements, newsletters, research reports, summaries, thank-you notes and account adjustments. Transmittals are another form of informative message that explains what’s being sent.

    Negative Documents

Negative documents are used for a number of purposes, often to apologize or explain a negative situation. Types of negative documents include rejections, disciplinary notices, negative performance appraisals, layoffs and firings.

    Persuasive Documents

Persuasive documents attempt to convince the audience to subscribe to the writers’ point of view. Advertisements, resumes, performance appraisals and fund-raising appeals are all types of persuasive documents.
