The following activity forms part of your assessment of competency. You may also be required to demonstrate your skills and/or provide various workplace documents or third-party reports. Your trainer will give you guidance in this area.

The following activity has been designed for all learners to complete.

  • Why is it important to research stakeholder requirements for an information or knowledge management system? Give examples of how you might collect information from internal and external stakeholders.
  • In any business analysis, requirements that describe the needs or problems of the stakeholders in achieving or supporting their goals — whether related to organizational or operational concerns — are stakeholder requirements.

    Just as stakeholder needs and business needs look alike, stakeholder requirements look an awful lot like business requirements. Stakeholder requirements define decisions about business needs, goals, and objectives — just as business requirements do — but from the perspective of the stakeholders and their role in the business.

    Feedback forms are the best way of collecting feedback from internal and external stakeholders.

  • Consider a system that provides information to external stakeholders; for example, allowing suppliers to provide quote information or customers to make purchases.
  • Describe the main objectives of this system.
  • Decision support system is used to support organisations or companies on making more reasonable decisions. DSS is a type of computer software and therefore can be modified to suit the needs of the company.

  • Develop a strategy for training the external users of this system. Include information about the method of training, how it will be contextualised for the external users and what resources may be required.
  • The external users can be trained through extensive training programs. Learning the key functions and features of the system can take a couple of weeks to fully understand.

  • How would you assess success of the training activity?
  • Evaluate how much the staff have learned during the training activities.

  • Describe how you would promote the system to the external users.
  • The system will be promoted by explaining its key benefits:

  • Saves time
  • This saves a lot of time as it increases productivity of employees and allows management to review important information much more easily.

  • Enhance Effectiveness
  • It enhances effectiveness of the organisation because it makes much better decisions for the company. Based on the information that it is given, it will provide the management team the options that are most beneficial to the company.

  • Cost Reduction
  • This can save money for the organisation as well, as it improves productivity, saving time and therefore saving time for the company. Though there are signs of cost savings, the main purpose of DSS would usually not be money.

  • Increase Organisational Control
  • The DSS allows management to identify the best opportunities for the organisation. Therefore it can control the organisation better by understanding what the strengths and weaknesses of the organisation are. The Management can then focus on the opportunities for improve the company.

  • Promotes learning and Training
  • The DSS can promote the learning of new concepts for the company as the decision support system will display opportunities that the management team may not be familiar with and must research about.

  • Describe how you would protect the system integrity while providing access to external users.
  • Privacy is about respecting and valuing a people’s personal boundaries and space. In regards to business, privacy is more about the knowledge and confidentiality of this knowledge. Disclosing any personal information to a public audience is considered a breach of privacy and also confidentiality.

    Using things like firewalls, proxys, password ensryptions etc can protect information better.

  • Suggest strategies for resolving the following information management system problems:
  • You want to summarise sales information by customer type but the report does not exist in the customer management system.
  • Place the report into the customer management system using the database and then you can sort the information out in the order you like.

  • Your computer is crashing regularly, causing you to lose data.
  • Have a back up hardrive which can store important information. Also try to replace the computer or fix it.

  • Customer data has been provided to a supplier in error.
  • Ask for the supplier to disregard that information and destroy it. Then make sure that information is only given out to the right person.

  • Customers are complaining about shipping delays and backorders.
  • Ask the suppliers for more rushed shipping and provide customers will compensation.

  • Select a component of an information or knowledge management system that you are familiar with. Describe the strengths and weaknesses of that system.
