Mentor Confidentiality Agreement

A successful mentor-mentee partnership is based on trust, honesty, and confidentiality. This agreement requires both mentor and mentee to engage in open and honest communication while respecting each other’s confidential information.

My Agreement:

  • All monthly communication records, reports, and other materials containing personal information are subject to secure record keeping procedures.
  • If you witness a situation that may potentially cause harm to your mentee or others, provide your mentee with helpful resources and contact information. Check in with your mentee to ensure this has been followed through and you are updated as quickly as possible on the outcome.
  • If you witness an abusive situation, you are obligated to report it immediately to the intake line of the office during work hours, or to the crisis unit during non-work hours. You will need to notify the Mentorship Coordinator as well. If an investigation takes place, mentoring will cease until it is over.
  • You will not refer to your mentee by name or share identifying characteristics in the course of discussion with other people or in meetings. You may do so with the Mentorship Coordinators and Foster/Kinship Care Workers/Supervisors, if needed.
  • Any involvement beyond the mentor-mentee relationship as outlined in the Handbook, is considered inappropriate during the one year term of mentorship.
  • I have read and understand the confidentiality agreement. I will honour it during the mentoring relationship and also after my role has ended.

    2.      Match mentors with mentees.

     The matching of mentors and mentees is undertaken by the Mentoring Program Committee in each state. Mentors and Mentees complete an online questionnaire to assist in matching compatible participants with similar interests to maximise the benefit of the program. If you wish to be a part of the program in both a mentor and mentee capacity, please be sure to check the relevant box at the end of your questionnaire.

    Existing informal mentor/mentee relationships between an experienced planner and an inexperienced planner or planning student are encouraged to be formalised through the Young Planners Mentoring Program. Official recognition of an existing informal mentorship can be beneficial to both the mentor and mentee. Formalising an existing informal mentor/mentee relationship is an important commitment and the mentor and mentee must discuss if this process is suitable and beneficial for both parties

    3.      Co-ordinate schedules for interviews and induction sessions.

    Meeting 1 – 1/8/2020

    The first meeting is critical in establishing the foundations for the development of the mentorship but can be quite daunting for both the mentor and the mentee. The key to a successful mentorship is to ensure that both participants share the same objectives and expectations of the program. These should be discussed openly and negotiated within the partnership.

    The mentee is responsible for contacting the mentor to organise a time and place for the first (and subsequent meetings) that is suitable for both participants. It is strongly recommended that the first meeting is organised at the Mentoring Program Induction.

    Meeting 2 – 1/9/2020

    This meeting should focus on the mentor and the mentee getting to know each other. Learning each other’s interests and opinions beyond planning helps build trust and understanding in the mentorship.

    Meeting 3 – 1/10/2020

    It is recommended that at the third meeting mentors share some of their own career/ work history.

    4.      Induct mentors and mentees into your mentoring program.

    This contract will help each mentee/ntor pair:

  • Establish communication expectations
  • Identify goals for this mentoring relationship
  • Outline skill areas to be enhanced or developed through this partnership
  • Mentee Steps of the induction mentoring program

  • Meet regularly with my mentor and maintain frequent communication.
  • Look for multiple opportunities and experiences to enhance my learning.
  • Review my progress and adjust my contract as I work towards my identified goals.
