I will consult with the staff through a meeting. This will make sure that they understand the reasons for the training and ensure that they take the training seriously. They should be given a detailed meeting about the issues and then take a hard copy of the minutes and booklet of WHS policies and procedures. An email will also be sent to them as the more accessibility they have to the information the better the information will stick in their minds when they are performance tasks.

    Task 6

  • How you would document and preserve records of WHS meetings and incident reports?
  • Management Information systems must be very efficient and secure. Data information is important to store. It can hold vital information such as WHS meeting minutes and Incident reports.. It is important to back up all data because if a folder or system gets corrupt, the organisation will have a backup with all the documents that have been lost. Backing up means to keep in a safer storage system which can be help in a hard drive, intranet, storage system or any other electronic way of keeping large amounts of organisation data.

The easiest and most popular way of backing up is using a computer system that allows computers to connect in a network and share all information together in one network. The documents are then placed into a central storage where the files are backed up and kept for at least 5 years. The information that stays on the computers will be temporary files in the computer and once logged off, the files will be deleted. This makes the files only accessible through the central database where all backups were made. Only some personnel are allowed to access the backup database.

    Task 7

  • How would you monitor any changes made in the workplace because of WHS concerns?
  • Using KPIs is a great way to monitor changes in performance. Key performance indicators are factors which can be measured and analysed to see if there is any improvements in performance. These indicators could be money, quality or customer related factors which can be measured. KPIs are used as self evaluations and should be used to find out how and where the company can improve.

The use of KPIs can be used in Work health and safety, the same way it is used in business analysis. The WHS policies can be analysed and see where WHS needs more enforcing.
